Custody, not a stock list.

A spreadsheet tells you who has a laptop today. It cannot tell you who had it in February, what condition it came back in, or how long it sat in a drawer between two people.

History

One item, four events, nothing overwritten.

Each change of hands is a new row rather than an edit to a current-holder field. The history is the record.

The register

What an item carries.

Asset tag
Your own numbering. Luwawa does not impose a scheme.
Holder
The employee it is issued to, or nobody. Reserved counts as nobody.
Condition
Recorded on issue and again on return, so damage has a date against it.
Faults
Reported by the holder from their own workspace, without an email to IT.
Reserved
Attached to a record before a start date, issued on acceptance.

Issuing equipment does not require access to pay. An IT admin can administer every item against every person and never sees compensation or banking.

Leavers

The exit list writes itself.

When someone is marked as leaving, everything still in their name is already known. There is no separate handover document to assemble, because the register is the handover document.
